PROJECT OVERVIEW
Provide Tender Leads and Order Managers a centralized tool to review BOM details and manage the progression of CTO client estimates, resulting in improvements to estimation and project management processes through better use of data, communications, and technology.
CHALLENGE
Create a tool that enables users to review BOM details with incorporated cost information, facilitating the progression of CTO estimates in response to client requests. The objective was to reduce estimation time by introducing greater automation and improved data integration across systems. The existing process was heavily manual, error-prone, and resulted in long delays that adversely affected timelines and budget accuracy.
APPROACH
The UX design team partnered closely with Order Managers and Tender Leads to deliver a proof of concept (PoC) that targeted the most pressing bottlenecks in the current estimation workflow. This tool was designed to provide real-time visibility into BOM completeness and embedded cost data, improving clarity and consistency across estimation milestones.
To define the MVP, stakeholder interviews were conducted to capture pain points and essential requirements. These informed the functional scope and prioritized a streamlined experience for large-scale projects most affected by current inefficiencies. Opportunities for automation and data integration were identified, and rapid wireframing cycles enabled stakeholder validation throughout.

Outcome
The result was a net-new application embedded in a critical-path estimation process that had previously relied on outdated, manual methods. The new BOM Review Tool (BOM RT) significantly reduced the effort and inconsistency previously associated with CTO estimates and helped mitigate risks that once impacted project budgets by millions of dollars.

The solution dynamically aggregated BOM and cost data, highlighted inconsistencies, automated internal communication steps, and enabled real-time international cost conversions. The tool ultimately became the single source of truth for project estimation readiness.
Impact
The BOM RT streamlined and standardized the estimation process, allowing teams to work more independently and complete more project estimations in less time. Manual processes and fragmented communications were replaced with a self-service tool that increased transparency and reduced turnaround times from months to weeks.
